Idea & Project Intake

Every great product starts as an idea. Make sure none get lost.

01

Why Structured Idea Intake Matters for Innovation

In most organizations, ideas arrive through informal channels — a hallway conversation with a VP, an email buried in someone's inbox, a note from a customer visit that never gets formalized. Without a structured intake process, there's no visibility into what ideas exist, no consistent criteria for evaluating them, and no defensible way to decide which ones deserve funding.

The consequence is predictable: good ideas die of neglect because no one with budget authority ever sees them, while weaker ideas advance because they happen to have a vocal sponsor. Capital allocation becomes political rather than evidence-based, and the organization's innovation pipeline reflects who shouts loudest — not what's most promising.

A structured intake process doesn't just capture ideas — it creates organizational memory. Every idea, whether funded or deferred, becomes a searchable record. When market conditions change, or when a new technology makes a previously impractical idea viable, the organization can retrieve and re-evaluate rather than reinvent.

02

How Athena Optimizes Idea Intake

Athena's Project Request module provides a configurable intake funnel that mirrors your organization's real decision-making process. Anyone in the organization can submit an idea through a structured form — with fields you define, not a generic template — and that submission immediately enters a visible, trackable pipeline.

Each idea is captured against a Business Unit, tagged with configurable metadata (technology area, market segment, estimated effort, strategic alignment), and routed through your approval workflow. Reviewers see a consistent, comparable set of information for every idea — enabling merit-based evaluation rather than presentation-quality-based evaluation.

When an idea is approved, it doesn't get re-entered into a separate system. The approved Project Request becomes the project record itself — same data lineage, same audit trail, zero re-keying. The idea's original submitter, rationale, and approval history travel with the project through its entire lifecycle.

03

What You Get

Configurable intake forms with custom fields per Business Unit
Multi-level approval workflows with configurable reviewers and criteria
Automatic conversion from approved request to funded project — no re-entry
Full audit trail: who submitted, who reviewed, who approved, when, with what comments
Deferred idea bank — searchable archive of ideas not yet funded
Dashboard widgets showing intake funnel health: submitted, in-review, approved, rejected
Notification engine integration — submitters know their idea's status without asking
04

How It Connects

When approved, the idea becomes a Project — immediately visible in Project Management, available for task breakdown, stage-gate scheduling, and resource allocation. The original request rationale feeds the project's business case documentation.
