Your governance process, codified. Every gate enforced, every approval tracked.
The stage-gate process exists to answer one question repeatedly throughout a project's life: 'should we keep investing?' It's the mechanism by which an organization ensures that innovation spend goes to projects that still make sense — given what's been learned since the last gate. Without enforced gates, projects acquire momentum independent of merit. Teams become emotionally invested, sunk-cost fallacy takes over, and resources continue flowing to projects that should have been killed or pivoted months ago.
But stage-gate governance only works if it's actually enforced — and enforced consistently. When gates are informal (a meeting where someone says 'let's continue'), there's no audit trail, no clear criteria, and no institutional memory of why a go/no-go decision was made. When gates are manual (routing a document through email for signatures), the process time is dominated by waiting, not evaluating.
The ideal gate is fast, auditable, criteria-based, and impossible to bypass. It should collect the right information, route it to the right reviewers, capture their decision with rationale, and either advance the project or return it with clear feedback — all without anyone manually pushing paper or chasing signatures.
Athena's Workflow Engine is a single configurable state machine that drives approvals across every entity in the platform — Project Requests, Tasks, Samples, and any custom entity you add. Define any number of states (Draft, In Review, Approved, Rejected, On Hold — or whatever vocabulary your organization uses), any transition rules, any reviewer assignments, and any conditions that must be met before a transition is allowed.
Gates are enforced by the system, not by memory. A project cannot advance to the next stage unless its gate workflow reaches the 'approved' state. The gate workflow can require any combination of reviews — sequential, parallel, conditional based on project attributes. A high-value project might require CFO sign-off; a routine extension might need only the BU head. Same engine, different configuration.
Every approval decision is timestamped, attributed, and annotated. Years later, when someone asks 'why did we fund Project X?', the complete decision trail is there — who reviewed, when, what they said, what data they saw at the time. This isn't just compliance — it's organizational learning.
The Workflow Engine is shared across all Athena entities. The same engine that gates project stages also approves samples, routes task reviews, and governs equipment booking. Email Template Designer customizes the notifications each transition triggers.
Every module is configured to your process — your terminology, your workflows, your approval chains. Login to explore how Athena works for your organization.
